An interview sometimes needs to move because circumstances change. A useful rescheduling request tells the organiser what needs to change and offers realistic alternatives. It does not assume that the panel can automatically accommodate your preferred time.

Use the established contact route and act promptly once you know the original arrangement will not work. Avoid sending conflicting requests to several interviewers.

Identify the confirmed arrangement

Check the role title, date, time and time zone before writing. Make sure you are asking to change the correct interview, particularly if you have several applications in progress.

Give a brief appropriate explanation. You do not need to disclose detailed medical or family information to communicate that you have a scheduling conflict or an unexpected issue.

Offer alternatives you can attend

“Hello [name], thank you for arranging the interview for [role] on [date/time/time zone]. Unfortunately, [brief appropriate explanation] means I need to ask whether it can be rescheduled. I remain interested in the opportunity and am available [two or three realistic options with time zone]. Please let me know whether any of these could work, or if another arrangement would be preferable. Thank you for considering the request.”

Check each proposed slot before sending. Do not offer availability you have not confirmed with your other commitments.

Wait for clear confirmation

A request is not a replacement booking. Ask which arrangement is confirmed and check any updated calendar invitation or joining link. If the old invitation remains visible, clarify which version should be used.

For a last-minute problem, use any appropriate on-the-day contact provided by the organiser. Do not rely only on a mailbox that may not be monitored immediately before the meeting.

Prepare for the new conversation

Once the change is agreed, update your tracker and check whether the format, participants or preparation requirements have changed. Use the panel-interview checklist or STAR guide as relevant.

If you no longer want to proceed, send a clear withdrawal message rather than repeatedly rescheduling. Respectful communication helps both sides use their time, while recognising that not every requested change can be accommodated.
